JOB SUMMARY

The Project Coordinator provides support to the team through assessment, planning, monitoring and documentation, capacity building support (training and facilitation) and coordination with the local partners to implement the projects.

MAJOR DUTIES / RESPONSIBILITIES

Operational Activities

  • Responsible for overseeing the development and execution of project deliverables, lead project planning, budgeting, action plans and monitoring processes
  • Ensure project activities comply with the policies and regulations of the donor organization
  • Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project
  • Plan and facilitate kick-off workshop with different departments, as well as coordinate partner meetings throughout the project period
  • Monitor the implementation and progress of the project according to approved stated objectives, work plan, budget and record progress by working closely with the Monitoring and Evaluation unit, and make adjustments as necessary to ensure the successful completion of the project
  • Monitor the progress of the project against set indicators in a timely manner
  • Monitor, evaluate and suggest changes and improvements in programme and materials based on observations and discussions with beneficiaries, partners, donors…
  • Manage all project funds according to established accounting policies and procedures; ensure that all financial records for the project are up to date
  • Work closely with the financial officer to prepare financial reports and supporting documentation for donors as outlined in funding agreements
  • Manage budget spending and forecast including tracking and managing spending per budget line
  • Ensure procurement requests are presented on a timely basis to facilitate time implementation of field activities, ensuring cost efficiency and accountability in compliance with Caritas Lebanon and donor regulations and procedures
  • Prepare periodic project narrative and financial reports as well as other ad hoc reports, according to Caritas Lebanon and donor requirements
  • Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards
  • Develop teamwork among the project staff, ensuring a conducive working atmosphere is created and opportunities provided to share lessons learned, experiences, observations and challenges to inform the management and the donor
  • Conduct regular field monitoring visits to the project locations to provide support to the team and to ensure quality implementation, as well as peer-to-peer learning
  • Employ resourcefulness in project design, implementation and monitoring
  • Trouble shoots project problems, and identify and implement creative solutions
  • Represent Caritas in relevant forums/clusters, including with national authorities and donors as requested by HOD

Generic Duties

  • Follow Caritas Lebanon operational policy and procedures
  • Respect the internal policies and procedures for example: uniform, attendance, discipline, etc.
  • Complete schedules, activity planners, monitor staff availability and act against any shortfalls
  • Resolve any staff issues and escalate any unresolved issue to the related manager
  • Perform other related duties as assigned by the manager

Team Management

  • Provide on-going leadership and support to staff
  • Conduct timely performance evaluations and staff development
  • Recommend disciplinary action as needed following established policy
  • Control knowledge of procedures and ensure their strict implementation
  • Give clear responsibilities to the team
  • Provide assistance and organize good communication with the team
  • Organize and facilitates meetings as needed
  • Ensure the department staff is informed of the policy changes
  • Organize and maintain departmental communication system that encourages staff participation

Academic

Bachelor Degree related to humanitarian, Business Management, Project Management or any relevant degree.

Other Qualifications

Communication, writing, analytical and negotiation skills.

Related Work Experience

 

 

2 – 3 years of progressively responsible experience.

Computer Literacy

MS-Word / MS-Excel.
