Reports To: Education Project Manager

Job Purpose: Support the Administrative and day-to-day operations at the learning center, securing a safe and functional environment.

Main Responsibilities:

  • Lead the outreach and data entry team in the efforts of identifying students to be targeted from public schools;
  • Responsible for making sure purchases that are needed for the learning center including maintenance needs are being requested delivered and followed up
  • Responsible for the collection and reporting of quantitative data on the attendance of students.
  • Meeting with all administrative teams including outreach and data entry weekly.
  • Overseeing the data collection method by the outreach and data entry officers
  • Creating schedules for the learning center.
  • Ensuring all needed purchases and organization for parents’ meetings and outings.
  • Reporting any incidents observed by the education team to Project Manager (PM) through an analysis report.
  • Working in coordination with the Support Services and M&E Reporting to PM as well as the Support Services unit at B&Z on a weekly and monthly basis.
  • Ensuring a proper procurement plan monthly or quarterly and presenting them to PM, to be shared with the Operations department.
  • Led the registration process logistically and ensured the conveying of the proper messages to parents for this task at the beginning and during the scholastic year as per the targets and segregation.
  • Ensuring a protective environment at all times.
  • Following up on the maintenance of learning center storage, keeping the inventory, and ensuring that materials needed for the classrooms, protection unit, and any other units are available at the center.
  • Resolving arising problems within the admin team staff.
  • Conducting any assessments needed to report actual needs and changes regarding the functioning of the learning center to the PM.
  • Responsible for the logistical organization of parent/teacher meetings.
  • Ensuring constant proper maintenance of the learning center.
  • Collaborate with education program staff to ensure administrative needs align with program objectives.
  • Assist in the preparation and distribution of educational materials, resources, and supplies.
  • Coordinate logistics for educational and protection-related events, workshops, and training sessions.
  • Process invoices, reimbursements, and procurement requests aligned with program needs.

People Management: Manage outreach & data entry staff.

Key Performance Indicators: 

  • Reports submitted to the Project Manager and the MEAL Unit.
  • Monthly worksheets for teachers
  • Student name lists.

Education & Experience: Bachelors in Business, Social work, psychology, or similar is a plus.
