Responsibility
The Administrative Assistant is responsible for providing multiple office services by implementing administrative systems, procedures, and policies; monitoring and following up on administrative projects; and supporting and coordinating with different sections within SANAD such as Administration, Human Resources, the Hospice Care Team, Accounting, Volunteers and Fundraising Team.
Qualifications
- Completion of a University degree
- At least 1-2 years of a valid work experience.
- Team-player, flexible, proactive, problem-solver, trustworthy, and willing to accommodate for difficult and unexpected situations.
- Strong organizational, planning, and time management skills.
- Fluent in Arabic and English.
- Excellent knowledge of basic computer software such as Word, PowerPoint, and Excel.
Functions
The Administrative Assistant should:
- Maintain workflow by addressing administrative needs for all activities related to Administration, Human Resources, Executive Team, Accounting, Volunteers and Fundraising.
- Organize and maintain a filing system for documents generated by the Organization, including confidential information, meeting minutes, official documents, etc.
- Assist in reports write-ups, presentations and proposals.
- Plan and schedule meetings – Ensure operation of office equipment by completing maintenance requirements and/or calling for repairs.
- Maintain supplies/equipment inventories used by the executive team.
- Manage communications (phone calls and e-mails), and direct them as necessary.
- Manage other day-to-day matters.
- Provide information by answering questions and requests.
- Follow-up on implementation of HR rules and regulations.
- Report to SANAD’s president.
- Work collaboratively with other areas of and individual professional staff and volunteers across the organization to achieve SANAD’s overall strategic objectives.
- Keep record of invoices and expenses, and match to monthly reports.
- Support the Fundraising Team in all fundraising activities logistically and administratively to ensure successful fundraising planning and implementation.
