Under a direct line management of the Procurement and Logistics Manager, the role will be focused on support to Procurement and Logistics team in vehicle fleet and mechanical assets procurement aiming at efficient supply chain and smooth run of operations in accordance with MAG standards.
S/he will be responsible for sourcing and purchasing the materials, spare parts, equipment, and services that fleet and mechanical units require to function effectively. The PLA will also be tasked with tracking inventory levels, assisting in management of vendors, contractors, suppliers and other service providers ensuring compliance with relevant rules and regulations.
Principal Responsibilities
- In close collaboration with the Fleet and Mechanical teams, handle all the requests for purchase of goods, services, and works for program vehicles and machinery units.
- Conduct market surveys around existing and new operational bases of MAG, and maintain a Supplier Database for mechanical suppliers and service providers.
- Perform quality checks on vehicles and HMA machines’ spare parts and consumables after procurement ensuring technical and mechanical requirements are met.
- Contribute to the implementation of MAG Procurement and Logistics policies maintaining a high-quality procurement system, that is accountable, transparent, and compliant with donor and national legislation
- Identify areas of improvement in the work processes, and proactively work with the PLM and Logistics team to enhance them.
- Maintain the filing system in line with archiving requirements for soft and hard copy recording.
- In coordination with the store Keepers Ensure that procured stocks are received, registered, and dispatched in an efficient and accountable manner.
- Conduct physical stock checks periodically in coordination with the Store Keepers, and report on discrepancies.
- Ensure that goods and items are stored in a proficient, effective, safe, and secure manner.
- Keep active monitoring of the purchasing process including Identifying Suppliers, preparing Bid Analysis, negotiating prices, ensuring timely deliveries, and completing payment paperwork in compliance with MAG and Donor policies and procedures.
- Collect and deliver items from suppliers as necessary.
- Work with the entire program Procurement and Logistics team under the supervision of the PLM to complete other duties as needed.
Essential Requirements:
- Mechanical background, knowledge of technical specifications of spare parts and consumables for vehicles and machines.
- Understanding markets analysis and applying theoretical knowledge in practice.
- Communication and negotiation skills,
- Advanced level of Excel and inventory systems,
- Ability to work under pressure and multitasking.
- Attention to details.
- Good level of written and verbal English.
- Valid driving license.
GENERAL
