The Project Operations Manager will play a critical role in ensuring the successful planning, execution, and management of specific projects within INJAZ Lebanon. This role involves coordinating with various teams, managing resources, and maintaining a focus on quality, efficiency, and compliance with project objectives and budgets.
RESPONSIBILITIES
Project Planning and Management:
- Collaborate with the executive team, and field teams to ensure projects and activities are executed within the framework of the original plan and budget.
- Develop detailed project & operational work plans in coordination with relevant stakeholders.
- Support project teams in the fulfillment of their duties according to project design and goals.
- Ensure close coordination at the project level with community partners for project outreach and registration, meeting agreed-upon targets.
Trainers & Volunteers’ Training & Scheduling:
- Review, update and maintain INJAZ Database of trainers & volunteers
- Oversee the recruitment and orientation of project trainers and volunteers.
- Assist in planning and implementing INJAZ Training of Trainers (ToT) sessions.
- Ensure that project trainers and volunteers consistently fulfill their roles and complete program delivery tasks in line with project standards.
- Ensure a thorough understanding of INJAZ Lebanon program content and monitor its delivery according to agreed-upon standards.
Partnerships and Relationships:
- Review, update and maintain INJAZ Database of partners
- Represent INJAZ Lebanon in meetings and partnerships with schools, universities, private companies, and other stakeholders to strengthen collaboration and support.
- Recruit new community organizations, schools, and partners as needed and establish long-term relationships with support from the team
- Stay informed about developments in the field of Entrepreneurship, Career Readiness and Financial Literacy in Lebanon and the region
Program Implementation & Quality:
- Manage project implementation, ensuring adherence to quality standards and donor requirements.
- Develop and update quality control plans in line with INJAZ Al-Arab and donor program implementation standards.
- Manage availability of program materials and resources according to the program plan
- Review, develop, and finalize program materials in collaboration with other team members.
- Review feedback forms and M&E surveys, making necessary changes to improve the projects and programs being implemented.
- Develop and review Standard Operating Procedures (SOPs), policies, and manuals as needed.
- Develop, review, and issue sub-grantee contracts for projects being implemented.
- Develop, review and revamp where needed program content
- Prepare all necessary reports (Internal & External) and submit the yearly Organization Report to INJAZ Al Arab and Junior Achievement Worldwide with the support of the team
Administration:
- Develop and manage budgets for all programs and program-related activities in collaboration with the Finance & Admin Manager and the Programs and Marcom team.
- Develop an annual calendar that predicts project needs and includes timetables, procedures, and responsibilities.
- Develop reports to donors with support from other Head of Departments
- Oversee the maintenance of database information related to project activities and participants.
- Contribute to the recruitment of new personnel with the support of the Finance & Admin Manager and positions’ line manager
- Review KPIs of INJAZ employees in collaboration with the Finance & Admin Manager and employee’s Line Manager
Other Responsibilities:
- Attend partners’ meetings and collaborate effectively with the team
- Organize and run weekly Head of Department meetings and one-on-one meetings as needed
- Undertake other related duties as assigned or requested
POSITION QUALIFICATIONS
- University Education (Master Degree level preferred) in Business, Economics or Education field. (Essential)
- At least 7 years’ experience in non-profit sector, including 3 years at management level (experience with international donors is a must). (Essential)
- Excellent interpersonal and communication skills, outgoing and dynamic (Essential)
- Excellent organizational and budgeting skills (Essential)
- Computer literate with significant experience in MS Office, specifically excel (Essential)
- Effective communication skills, both written and verbal (Essential)
- Can confidently work in a stressful environment (Essential)
- Details oriented (Essential)
- Sincere interest in the mission of INJAZ Lebanon (Essential)
- Highly organized, motivated and a team player (Essential)
- Excellent written and spoken English and Arabic (Essential)
- Knowledgeable and strong interest in Business Development and Entrepreneurship (Preferable)
- Motorized and willing to commute to project locations all over Lebanon (Essential).
