- Carry out secretarial work (organize meetings, agenda, minutes of meetings, follow up assignments, answer phone calls, manage e-mails …), in coordination with the department’s director.
- Archiving documents/files and tracking emails.
- Follow-up reports deadlines.
- Act as a focal point for the department in terms of internal communication with all departments and sectors.
- Follow up the schedule of activities in coordination with the department’s manager and units.
- Update and maintain the department’s policies and procedures.
- Support department members in carrying out their duties.
- Translate verbally and in writing when necessary.
- Develop progress reports.
- Completes data entry, daily logs, and all related paperwork.
- Assist with preparation of meetings.
- Receive managers and employees’ requests, transfer them to the concerned party, and follow up on their receipt and implementation.
- Submit daily reports to the department’s director to control the efficient and smooth running of day-to-day operations.
Qaulifications:
- Fluency in Arabic and English and French languages spoken and written.
- Highly organized and capable of multi-tasking.
- Ability to work under pressure and for long hours of time.
- Time management skills and ability to meet deadlines.
- Excellent communication and presentation skills.
- Professional proficiency in using Microsoft Office tools such as Word, Excel, PowerPoint, Outlook, and Google Drive Tools.
- Excellent teamwork skills.
- Excellent negotiation and persuasion skills.
- Capable of finding quick, efficient, and cost-effective solutions to unexpected problems.
