General Description:
Administrative Assistant provides complex secretarial and/or administrative support to Physical Rehabilitation program (PRP) team and Mental Health Psychosocial Support (MHPSS) Team
Objectives and Tasks:
Administrative tasks related to Physical Rehabilitation Program (80%)
- Supports implementation of PRP projects and programs.
- Ensures necessary administrative work, liaison with National and international institutes / organization where delegation training and/or scholarship partners enrolled.
- Verifies all the bills received from supported centre and submit to Finance department respecting the deadline, after checking the provided services, comparison with the statistics, and prices etc,
- Supports the PRP team in coordinating all the Community Call Center (CCC) referrals with the team and providing timely feedback to the CCC team.
- Prepares for PRP meetings by setting up rooms and materials, including technical set-up for conference calls, presentations, and video conferences.
- Assists with organizing seminars, training sessions and workshops; liaises with internal and external contacts and service providers related to their work and follows up on expenses.
- Launching Supply Requestss (SR’s)for PRP partner centers after checking the requisition orders carefully then follow up the process until the final delivery of ortho-prostheses items to each center. i.e. communication with Logistic, SRs validation process, sharing information with centres, acknowledgement etc.
Administrative tasks related to other health programs (20%)
- Ensures MHPSS patients files from previous years, including consent forms, are stored in soft and/or hard copies securely in accordance with ICRC standards, respecting the confidentiality.
- Supports MHPSS team with MHPSS databases (PEARL, MAD, etc) of current year and contributes to timely reporting as required.
- Manages the MHPSS files in coordination with Information Management Department
- Supports the necessary procedures for payments of incentives.
Additional Duties:
In case of sudden onset of emergency, conflict or other situation of violence, s/he is responsible of making himself available to uptake any task as required by her/his line manager and the PRP Manager
General Duties:

- Understands the roles of the components of the International Red Cross and Red Crescent Movement.

- Develops and maintains a pleasant and conducive working environment with colleagues and line managers.
- Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC.
- May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary.
Position Requirements:
Minimum Qualifications:
Years of experience required: 2 – 5 years of experience including 2 years of NGO experience
Level of education: Bachelor’s degree level, Master’s Degree is a plus.
Field of education: for Management Information Systems, Statistics, Medico-Social Work or Social Work, or any other job-related field
Languages: Arabic and English, French is a plus.

Job Details:
- Job Location : Beirut, Lebanon.
- Working Schedule: Monday till Friday, from 8 Am till 5 Pm.
- Contract Type: Determined Period, 1 Year (Renewable).
- Salary Package : 2037-3200 USD
