Job Summary:

The Logistics Assistant supports the delegation’s logistics team by following up on and handling requests.

The Logistics Assistant ensures that general warehousing activities are properly carried out for the specific product families in line with standard operating procedures (SOPs). Follows up and supports the warehouse’s activities and acts as a liaison between the third-party service provider and the ICRC for day-to-day warehouse and transport activities.

Objectives and Tasks:

Warehouse operations (20%)

  • Act as a liaison between the third-party service provider and ICRC for day-to-day warehouse and transport activities.
  • Liaise with the transport department and organises outgoing and incoming shipments and communicate with the logistics service provider.
  • Follow-up the receipt, storage, and dispatch of goods according to procedures, and immediately report any problems or discrepancies.
  • Meticulously adhere to scheduled pick dates in JDE when the stock is available for picking.
  • Determine order preparation and planning along with the Customer Service Desk.
  • Supports the transport of goods and coordinating trips into the field
  • Ensure that all ICRC warehousing SOPs are respected and immediately report any deviations from procedures.
  • Ensure stock is rotated and picked according to the principles of first-in-first-out and/or first-expired-first-out and instructs the logistics service provider accordingly.
  • Ensure proper segregation of goods within the warehouse and report any discrepancies.
  • Ensure the service provider’s compliance with pest control and hygiene in the warehouse.
  • Communicate the cargo details to the Customer Service Desk within 24 hours after picking is done.
  • Propose and follow up on initiatives to reduce warehousing costs.

Records information in the logistics ICT system (60%)

  • Record information in the logistics IT system and ensures all relevant information is shared with the logistics service provider and acted upon accordingly.
  • Ensure there is a stock-keeping system in place adequate to ICRC needs (e.g., bin cards and stock cards).
  • Provide statistics and other reports on warehouse activities, report them to management, and compare them with the data provided by the logistics service provider.
  • Assure minimum discrepancy between actual picking of goods and information recorded on packing lists.

Administer stock control (10%)

  • Follow-up on inventory levels
  • Implement monthly inventory count and investigates claims and takes corrective action
  • Take the lead in inventory counts, initiate claim reports, and investigate all discrepancies.
  • Report and follow up on KPIs regarding warehouse efficiency, audit their performance, and propose improvements.
  • Follows-up and improves the assurance of the performance of the logistic service providor (samples/stock counts/…)
  • Regularly update all warehousing transactions within JDE with correct data, mainly actual transaction date.

Other (10%)

  • Ensure that risks are mitigated by performing the controls assigned to his/her role, as described in the Logistics Risk and Control Matrix.
  • Give technical support for all other ICRC warehouses and departments
  • Ensure the filing of required documents and keep them archived for auditing purposes.
  • Give support to all other requests within his/her capabilities

GENERAL DUTIES

  • Understands the roles of the components of the International Red Cross and Red Crescent Movement

  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

Position Requirements:

Minimum Qualifications:

Years of experience required: 2 years of experience in similar field

Level of education: Technical Diploma

Languages: Arabic (Native) English (Professional working)

Computer Literacy: Basic

Job Location: Beirut

Working Schedule: Monday to Friday from 8am to 5 pm

Contract Type: Fixed Term, 1 Year (renewable based on performance and need for position)

Salary Package: USD 1’570 – 2’641 (As per ICRC salary scale, salary setting processes will determine fair setting in coherence with the qualifications of the applicant and the requirements of the job).
