Terre des hommes- Lausanne is seeking a qualified Security and Logistics Assistant for its office in Zahle. Candidate must be based in Bekaa.
In local contexts, the Security and Logistics Assistant plays a critical role in supporting the security and logistics functions of the NGO’s operations. This position involves ensuring the safety and well-being of personnel, assets, and facilities, as well as managing logistics and administrative tasks to enable efficient and effective program implementation. The Security and Logistics Assistant reports to the Senior Logistics Officer and works closely with the program and administrative teams.
Under the management of the Senior Logistics Officer, the Security and Logistics Assistant will perform the following tasks:
Job Duties & Responsibilities
Security Management:
- Assist in the development and implementation of security protocols, guidelines, and standard operating procedures to protect staff, beneficiaries, and assets.
- Conduct regular security assessments and risk analyses to identify potential threats and vulnerabilities.
- Monitor security developments and provide timely updates and advisories to relevant staff.
- Coordinate security training and drills to enhance the preparedness and response capabilities of personnel.
Logistics and Procurement:
- Support logistics planning and execution for program activities, ensuring timely delivery of goods and services.
- Assist in procurement processes, including sourcing, obtaining quotes, and maintaining supplier relationships.
- Manage inventory and equipment, ensuring proper tracking and maintenance of assets.
- Organize transportation, accommodation, and other logistics arrangements for staff and visitors.
- Check all procurement files received for validation, verifying that the provided documentation is complete and correct.
- Verify compliance of the procurement files with regards to internal Procurement Procedures and Donors guidelines.
Facility and Asset Management:
- Oversee the maintenance and security of NGO offices, residences, and facilities.
- Ensure proper functioning of security systems, including alarms, CCTV, and access control.
- Monitor and manage the use of assets, ensuring their appropriate allocation and utilization.
Travel and Field Support:
- Assist in coordinating field visits and travel arrangements for staff, volunteers, and consultants.
- Provide logistical support during field operations, including ensuring staff safety and coordinating with local authorities and partners as needed.
Emergency Response:
- Participate in emergency response planning and actions to address potential crises or incidents.
- Assist in organizing and conducting drills to enhance staff preparedness for emergencies.
Reporting and Documentation:
- Maintain accurate and up-to-date records related to security incidents, logistics, and asset management.
- Prepare regular reports on security and logistics activities for management and donors.
Compliance and Training:
- Ensure compliance with security and logistical policies and procedures.
- Assist in providing security and logistics training to staff and beneficiaries as required.
Organisational Policies:
- Respect the Tdh’s Global Code of Conduct (GCD), Child Safeguarding Policy (CSP), Prevention from Sexual Exploitation and Abuse Policy (PSEA) and Policy on Gender and Diversity and its principles of child protection, ensuring the policy’s implementation and prompt notification of the CSP/PSEA Focal Point with any information regarding potential breaches of the policy
- Is aware of, abide by and promote the practices and values set out in all other Tdh policies and procedures such as the Internal Regulations, Standard Operating Procedures and other policies
- Undertake all other duties that may be requested by the line-manager and that are compatible with the job
- Participate actively in weekly and monthly coordination meeting with the line managers
Qualifications and Requirements:
- Bachelor’s degree in a relevant field or equivalent work experience.
- Previous experience in security management and/or logistics, preferably within an NGO or humanitarian organization.
- Knowledge of security risk assessment, incident reporting, and emergency response procedures.
- Familiarity with procurement processes and supply chain management.
- Strong organizational and problem-solving skills.
- Ability to work under pressure and in challenging environments.
- Excellent communication and interpersonal skills.
- Proficiency in relevant computer applications (Microsoft Office, database management, etc.).
- Knowledge of local languages and customs (if applicable) is advantageous.
- Fluent in written and spoken English and Arabic
