Admin Volunteer – GIZ-PART II Project
A. Recruitment context
The GIZ -PART II Project is looking for an admin volunteer for the coming six months (from September 2023 until February 2024). The admin volunteer will ensure support in the effective implementation of the project until end of February 2024 and will work under the orientations of the finance & admin unit to ensure a culture of communication and cooperation contributing actively to the precise and effective implementation of the project.
B. Required qualifications, competences and knowledge Formal Education
- Preferably university degree in Business Administration or similar relevant field
Other Qualifications:
- A previous work/volunteer experience of 1 to 2 years, with INGOs or NGOs is a plus
- Ability to think and work independently and work precisely with attention to details ▪ Excellent English and Arabic language knowledge in writing and speaking
- Eye for details and capability of monitoring lists, and documentation of processes
- Ability to cope with a dynamic and fast changing situation in the development context
- Fully computer-literate with excellent skills in Microsoft 365 and database management
- Creative, open-minded team player with strong willingness to learn
- Ability to think and work independently and work precisely with attention to detail
- Initiative, sound judgment with a constructive and positive attitude
- Demonstrated ability to work harmoniously with staff members of different backgrounds ▪ Lebanese driving license
- The admin volunteer will support the following

Supports administrative and logistical issues (e.g. preparing internal meetings & taking minutes, Follow up on travel claims …)
- Supports in logistic aspects of missions and visitors as well as consultants of the project: draw up travel schedules/visit schedules, assure accommodation and transportation
- Conducts regular office duties (e.g. scan, copy, relevant correspondence in Arabic and English, receiving visitors, and answering queries on project-related issues).
- Checks inventory according to GIZ rules and regulations
- Checks carlogs (consumption, calculations, check lists, maintenance , related vouchers …) according to GIZ PuR
- Assist in procurement related tasks
- Supports team members and selected partners with travel arrangements.
- Creates and maintains important contact addresses (partners, services & procurement, etc.).
- Supports in translating documents and letters from Arabic to English or from English to Arabic
- Communicates with partners
- Keeps the document filing up to date (physical and electronic filing)
- Prepares taking over/handing over documents and releases them
- Supports organizing events
- Perform other tasks assigned by the project admin/finance team according to the need
Project Description: The project “Strengthening the influence of Palestinian refugees on their living conditions in the MENA region (PART II)” was commissioned by the German Ministry for Economic Cooperation and Development (BMZ) in December 2021 to improve the capability of Palestinian refugees to influence their living conditions. The project is active in the Palestinian Territories, Jordan and Lebanon and its main political partner is the United Nations Relief and Works Agency for Palestine Refugees in the Near East (UNRWA). It also works in close cooperation with host government institutions as well as local NGOs and CBOs.
